Email your supporters, donors and targets

What kind of emails are sent by Campaignion?

  • Action Emails: Used for email address confirmation, to send a thank you to your supporters or to send notifications to someone when a supporter completes the action.
  • Email Protest: Emails to your protest target
  • Email to Target: Various emails tailored to a set of targets, matched e.g. from the supporters postcode or geo-location.
  • System Emails: Campaignion sends out several system emails, for example when users want to change their passwords.

Action Emails

All actions on Campaignion have an email step in their editing interface with following options:

  • Confirmation email
    This enables Double-Opt-In => supporters/donors receive a confirmation link after submitting your form. By clicking on the link, they confirm their email address and the form entry is valid (meaning the protest email is sent, the newsletter subscription is sent, the submission is confirmed, the thank you email is sent, etc). The confirmation link is unique to each supporter and is added to the email body via the token [submission:confirm_url].
  • Thank You email
    This email is sent to your supporter after a successful submission of your form.
  • Notification email
    If you want to get notified that someone submitted your form, enable this! This could also be used to notify a partner, someone from another team, etc.

These three emails hold the same basic configuration

Field: "E-mail from address"

You can either choose to stay with the default email address or specify a Reply-To: address. You can't specify a custom 'From:' email address because we want to stay DMARC compliant. What does that mean? In short: Our mailserver is not allowed to send an email on behalf of another domain, so we can't send it from e.g. this-is-me@mydomain.org if we don't want to get on any spam blacklisting. Field: "E-mail from name"

This is the name that will appear as sender. While choosing custom, you can specify the name that accompanies the email. So your Reply-to line will look like e.g. this: My Name <this-is-me@mydomain.org> The default sending name was defined during your on-boarding.

Field: "Subject"

Set a subject for your email. As always keep it simple and meaningful. Something such as "Thank you for taking action!" or "Please confirm your email address" are good examples of email subjects.

Field: "Your email"

Customize the email body to your liking. You may include tokens that substitute for the supporters name, e.g.:

Dear [submission:values:first_name],
Thanks for taking action!

Note: If you edit the Confirmation Email, make sure to include/not delete the [submission:confirm_url] token, as it will provide the link to confirm the email address. Without it, the action cannot be completed and the supporters get stuck!

Use tokens!

At the end of the section there is a small link that lists all available tokens, which you can use to make your email more meaningful. For example you can address your supporter by name and provide a confirmation url, as well as referring to the donation amount or any other field, where you have requested information from the supporter. Simply copy and paste your desired token. You can find more about tokens here.

You can choose to send your email as html or plain text. With html you will have colours, images and different font-sizes available, with plain text you get, well plain text ;)

Send protest emails to your target

When setting up an Email protest you will fill in your email target(s) right after the first edit step. After you have saved your set of targets you can edit the form. This also the place to specify the email the target will receive and that supporters may edit.

Normally you should have a template available, so you can simply select and apply one. If you lost/deleted/... this template and have no other source, here a short overview of how to set up your target email:
 
Add a fieldset and name it "Your message" (This is not required but makes it more visible and coherent for your supporters)
In this fieldset drag and drop:
  • a textfield labelled "Subject" or whatever you prefer. Make sure your form_key says: email_subject
  • a textarea labelled "Message" or whatever you prefer. Make sure your form_key says: email_body

Now add your email subject and text into the "Default value" field. And maybe add a description for your supporters, so they know that this is the message that will be sent to the target. If you don't want your supporters to be able to edit the message at all, you can disable the field in the "Display" tab.

We also recommend to set those two fields to "required" in the options tab.

Tokens in your target email

It is possible to use tokens in your target email too! However, a slight amendment is needed: To have the data of the previous fields available you need a page break between said fields and the message to the target. Just drag and drop the page break into your form right above your message to the target. Then add e.g. at the end of your email message in the default value field:
Yours sincerely,
[submission:values:first_name][submission:values:last_name]

How do the target emails in the Email to Target actions differ?

Campaignion's Email to Target feature offers a much smoother user experience than the Email Protest!

The email to the target can be customised on its own "message" step, targets can be excluded from the action based on customisable filters, targets can get a custom message, and there are message parts that aren't editable by the supporter. You can even choose a message that will be displayed to your supporters if no target is available for them to contact.

When setting up your email to target action, the second step will also let you choose your dataset of targets. You can also allow supporters to edit the message to all the targets or toggle it off.

After the "target" step comes the "message" step, dedicated to the emails those targets will receive.

The message step covers these fields:

  • "Add specific message" - Use this to customize your message to a specific subset of targets. This could be for example, a certain party or a single person.
  • "Add exclusion" - Use this to not send a message to a specific set, or individual targets and instead display the reason to your supporters.
  • Subject - This is your normal email subject, as your target will see it.

The email body is split up into three fields:

  • Header - Use this field to address the target and maybe write some introductory lines. This is not editable by the supporter.
  • Body - This is the main part of the message that will be sent to the target. If you have chosen to make the message editable by your supporters, they will be able to edit this part of the message.
  • Footer - Use this field to add the supporters name and details, as well as maybe some farewell lines. Like the header, this is not editable by the supporter.

All tokens are available in your message. Under the email body fields, you will find two links that will give you a complete list of available tokens.

At the bottom of the message step, there is a "No target available" field. There, you can customise the message that will be displayed to your supporters if no target is available for them, based on their postcode or they country, for example. You can suggest the supporters to have a look at your other actions through your start page, or forward them to one action in particular, such as a donation for them to support your work anyway.

The fourth step is the usual form step common to all actions. Here, do not forget to drag and drop the "Target & Message" field where you want it in your form, if it is not already there!

Note: The field based on which the target selection is based cannot be placed on the same form step. At least one 'page break' is needed between both these fields!

System emails

System emails won't be covered in detail here. But just in case you cannot find where to change these emails, be sure to head to Manage --> Advanced settings --> Site settings --> Account settings.
